Terms and Conditions
Unbeaten Tracks operates under the following Terms & Conditions which contain the information you must read carefully, understand them, and once agreed you can proceed with booking a tour. These terms and conditions (the “Agreement”) describe what you are legally entitled to expect from us when you purchase travel related services through us, it also explains your obligations as a customer with us.
Responsibility
We reserve all the rights to refuse the continuation in providing our services to clients who willingly cause significant inconvenience to other clients or deliberately disturbs the tour. We are will not be accountable for any loss or damage to luggage or personal possessions, or any major losses resulting therefrom. The client will be fully responsible for any additional cost if you are injured or fall ill, all evacuation, doctors’ fees, hospital expenses, and repatriation costs. However, our staff is ready to provide assistance with emergency and quick evacuation.
Clients are responsible to have their valid passport, visa, and any equipment that is required to start the tour. The company is not responsible for failure in obtaining a visa for any reason but will stay at your disposal to find all possible solutions to the problem.
Unbeaten Tracks is responsible for the safety and success of the tour you have chosen. It means the company will reserve all authority over the course of the tour and may make omissions or alterations to the itinerary, highlights, and excursions as they deem it necessary especially in the interest of safety and considering physical conditions of the participants. If a client fails to comply with important instructions of the guide or if clients commit any unlawful act, they are compelled to leave the tour. No refund will be made in such cases.
Unbeaten Tracks is not a tour operator therefore is supported by Korakanè Travel di STON Srl in technical and organizational questions in order to reassure the successful outcome of the tour.
Deposit and Payment
Unbeaten Tracks asks for a deposit at the time of booking the tour to uphold the reservation and cover any initial expenses. We will advise you of the date that full payment is required (generally 60 days before the start of the tour, unless otherwise stipulated on the tour page). Payments of deposits are required at the time of booking. Deposits are generally 30% of the total amount (other information is available on the tour page on our website). After your booking you will be contacted by our technical partner with all the information needed to finalize the payment. Payment for your trip can be made in two ways:
- Bank Transfer;
- Credit Card (PayPal) Payment

Cancellation Policy
The staff of Unbeaten Tracks must be informed of cancellations (for any reason) as soon as possible to minimize loss. Cancellations must be received in writing by mail or email and are subject to the following fees per guest:
- More than 60 days before departure: 30% down payment is refundable
- 59-45 days before departure: 30% down payment is non-refundable.
- 44-30 days before departure: 50% of tour cost (your deposit can be transferred to any other trips organized in the next 12 months)
- 29-15 days before departure: 75% of tour cost (your deposit can be transferred to any other trips organized in the next 12 months)
- 14 days or less before the tour starts no refund available (your deposit can be transferred to any other trips organized in the next 12 months)
The days are to be considered as per the calendar (and not working days). Dedicated cancellation policy can be applied on top of these, due to the specific tour characteristics.
In case not enough people are registered for a group tour, we may decide to cancel the tour. In this scenario, all participants will receive a full refund. Any costs incurred by you to be able to participate in the tour (booking of hotel rooms on location, flights, train tickets, etc.) will not be refunded by us. We will advise you when we can confirm a tour and you should not make travel arrangements until this has been confirmed. Any type of bank fees incurred to proceed with a refund to a participant will be at the cost of you.
If the guide will have a personal issue, he\she will be substituted by another guide, otherwise you will be completely refunded. In case you are compelled to cancel the confirmed tour by genuine circumstances and if you wish to transfer your booking to another person, you can do that, but only with the condition that she\he meets all the requirements relating to that tour, which will be evaluated by the guide. You must provide specific and valid proof of why you are unable to participate at the time to change the name of the person. A fee of 150 Euro per person will be charged for transferring the tour on another name. This option is possible no less than two weeks prior to tour start.
Unexpected Events
Delays because of difficult weather conditions and sometimes operational as well as technical complications can occur. For this reason, clients are advised to consider extra time and some budget flexibility in the event of flight cancellations\delays at the end of a tour. In this case client is responsible to cover additional charges relating to accommodation, food, guides and transportation.
Health insurance is required for all our tours. Unbeaten Tracks doesn’t provide health or other kind of insurance, for this reason you must arrange it by yourself. We highly recommend you to make a travel insurance as well, so that it covers tour cancellation (in case of any unforeseen circumstances).
Some of our tours are difficult and require particular physical suitability and, in the pre-booking process the guide may reject your participation in case he\she believes you could not match some of the requirements of the tour or won’t be able to deal with some physical load and it may endanger the course of the tour or some part of it and\or can aggravate your physical condition. We highly recommend you get a medical advice before booking any kind of tour with us. Our staff is at your disposal to provide you with more details on the tour and its difficulty in case you have some doubts on the suitability of the activity.
Once you have booked a tour you must also follow the regulations regarding safety equipment, gear and clothes that must be used during the tour. You will be provided with the gear list of it, so you can prepare everything beforehand and consult your guide if you need any kind of support.
Data Protection
In order to process the booking and to ensure that your tour arrangements run smoothly and meet your requirements, our staff needs to collect certain personal data. These will include, where applicable, your name and address, payment details and special requirements such as those relating to any medical condition, which may affect the chosen tour arrangements, and any dietary restrictions, which may disclose your religious beliefs. When you book a tour, you agree that the information you provide to us is accurate and that we use all necessary and relevant information, which we keep for administering your tour. We shall not subject any personal data about you to any processing except as may be required for the purposes of the tour and your data shall not be transferred to any third party except as may be necessary for the purposes of the tour.
Assumption of Risks
Since Unbeaten Tacks organizes activities mainly in wild and unprotected environment, while booking a tour you should be aware that that it is subjected to risks. Risks include, (not necessarily limited to) accidents or illness in remote places that lack medical facilities, altitude-related problems, and natural forces. The clients agree to assume and understand all risks associated with the tour. There is no liability and obligations will be attached to the company or its employees, or to any member of the tour group in respect to death, personal injury, illness or delay of a client, or for any loss or damage to the personal possessions of the client during the tour.
Photography & Video Filming Consent Policy
By booking a tour you automatically give permission to take photographs and\or videos of you and grant full rights to use the images resulting from the photography\video filming, and any reproduction of the images for publicity, or other purposes to help to achieve company’s aims. This might include (but is not limited to), the right to use them in our printed and online publicity and social media.
